The responsibility of the Managing Partner Executive Assistant is to provide administrative support and assist the Managing Partner as needed. Specific responsibilities include but will not be limited to:

Provide Managing Partner Support:
o Prepare correspondence
o Screen incoming calls
o Maintain calendar
o Make travel arrangements
o Prepare materials for daily meetings

Network Office Support:
o Maintain Network Office Procedure Manual
o Produce monthly Network Office bulletin
o Produce reports for monthly Leadership meetings
o Support/monitor contests
o Schedule meetings, banquets
o Arrange facilities and set up audio visual needs for meetings
o Communicate meetings
o Managing Partner committee work support
o Update office bulletin board

Qualifications:
? Bachelor's degree, preferably in business or an equivalent combination of education and/or progressively responsible work experience. Associate Financial Representative contract preferred.
? Excellent interpersonal skills
? High degree of organizational skills
? Excellent written and oral communication skills
? Ability to exercise good judgment
? Ability to maintain a high degree of confidentiality
? Ability to multi-task
? Ability to take independent action to make sound decisions
? Ability to work independently
? Ability to work effectively with people at all levels
? Strong computer and keyboarding skills including Word package, Excel, and PowerPoint are a must

In addition to the items in your job description, I also:
*prepare various monthly reports for Leadership team and prepare materials for all Leadership meetings
*update and track multiple agency contests (and order & distribute any necessary "prizes")
*track/chart new agent productivity and schedule monthly/semi-monthly mentor meetings with MP
*prepare all materials for MP's daily meetings
*sort through daily mail (in addition to email)
*prepare schedules/agendas for all client builder meetings, follow-up training, etc.
*transcription of dictation
*assist with annual budget and business plan preparation for office in general and for all "specialists"

You would not fill the role of Technology Coordinator within our office but there is quite a bit of "technology" involved with the daily responsibilities in this position. Maintaining updates on Managing Partner's home office computer and Network Office computer, resolving cell phone/PDA issues, synchronizing calendar daily, etc.

As far as the percentage of time spent on each area, you would spend about 25% of your time with scheduling-related issues (setting up meetings, confirming, schedule changes, etc.) 50% preparing monthly reports, monthly newsletter, memos, emails, and other dictation-based correspondence, and the remaining 25% with miscellaneous activities (planning/preparing for meetings, technology-related issues, organization, etc.)
